EVENT STAFF JOB DESCRIPTIONS
The Main Event Coordinators for the Estrella War are selected in January of the year before each Estrella War by the Crown of Atenveldt and the Atenveldt Kingdom Seneschal (for more information, see “ Who Runs the War”). These Main Event Coordinators (sometimes called “main autocrats” or “main event stewards”) then have until May to advertise and review applications and appoint the activity coordinators (sometimes called “sub-autocrats”) they will delegate to run specific areas at the event. These coordinators work under the instruction of the Main Event Coordinators to budget, manage, organize and publicize the modern aspects of a specific Estrella War.
If you would like to be part of the Estrella War Staff, please see the want ads at the bottom of this page for available positions and email the Mains at mains2012@EstrellaWar.org. Include your SCA and modern job experience when submitting your resume, plan and cover letter.
Once the full Estrella War staff is appointed (in May before the event), regular, monthly, public meetings are held to discuss the organizational details of the event. These meetings are open to anyone who wishes to attend, and are the best way to become involved in understanding what the war staff does and how they work together to make the event happen. Attending the planning meetings allows you to meet the coordinators working on the event, see the type of work they do and the responsibilities they hold, and find the areas where you are most interested in working.
Here are some suggestions as to how you can get involved:
- Attend as many of the Estrella War staff planning meetings as you can. Introduce yourself to people at those meetings, and express your interest in learning what they do, how the war works, and explain you’re interested in learning how staffers do things.
- Contact the war staffers who coordinators the area(s) where you are most interested in helping, and offer to volunteer to help with pre-war work or assignments, with onsite work during event setup, or with specific tasks after the event has started.
Remember that the Estrella War staff is an unpaid, all-volunteer group. They work on the staff because they love what the SCA does, and want the time spent working on the event to be meaningful and fun. They will warmly welcome new people who want to join the staff and help them run the event. But they also know that the requirements of real life take precedence over the unpaid volunteer work done for the SCA. Yes, they want dependable, hardworking, new staff members who know how to meet deadlines. But they are also looking for help from people who will give them adequate notice when a promised deadline will be missed, or when tasks they volunteered to do must be re-assigned.
Please direct questions about how to best join the war staff to the Main Event Coordinators, or to the coordinator of the specific area where you are interested in assisting.

Open Estrella War XXVIII (2012) Positions

| Parking Coordinator (Open until filled) The War Parking Coordinator is responsible for the management of Paid, General, and RV parking at the Estrella Event Site. This officer must be able to coordinate with the Site and Merchant Coordinators, the towing vendor, as well as all other Event Sub-coordinators. Further, this officer must be able to manage a number of deputies and volunteers. This office is responsible for the management of the RV raffle during pre-registration, on-site towing, set-up and the tear down of the Estrella War Parking areas.
Some War experience is preferred, but not necessary. Organizational and people skills are important. The Estrella War Parking Coordinator commitment to the event begins upon appointment and continues until all issues relating to that office for the War are resolved. | Estrella War Front Gate Autocrat (Open Until Filled) The Estrella War Front Gate Autocrat holds a warranted position responsible for Event admissions, site fee payment and waiver collection. This officer must be able to work closely with other Event Sub-autocrats and must be able to manage and direct large numbers of deputies and volunteers. Some SCA Corporate contact might also be necessary.
Troll is open 24 hours during most of the Event. The position is very demanding, requiring intense effort and time, especially during the first days of the War itself. Management, planning and organizational skills are essential. The Estrella Troll Autocrat’s commitment to the event would begin upon appointment and continue until all issues relating to that office for the Event in question are resolved.

| Estrella War Emergency Deputy Main (Open until Filled) The Emergency Deputy Main Coordinator holds a warranted position responsible for assisting to manage the Estrella War. This officer must be able to coordinate with site management staff, county services, city services and private vendors. This officer must be able to coordinate with the all other Event Sub-coordinators. Further, this officer must be able to manage a number of deputies and volunteers.
Some War experience is important. Management, organizational and computer skills are essential. The Estrella War Emergency Deputy Main commitment to the event begins upon appointment and continues until all issues relating to that office for the War are resolved.

| Volunteer Coordinator (Open until Filled) The War Volunteer Coordinator holds a position responsible for the management of volunteer hours and volunteer coordination at the Estrella War. This officer must be able to coordinate with the Kingdom Seneschal, Principal Kingdom Officers, and Main Coordinators. This officer must be able to coordinate with the all other Event Sub-coordinators. Further, this officer must be able to manage a number of deputies and volunteers. While holding this position, you will be responsible for advertising for volunteers, tracking volunteer hours (data entry), seeking volunteer raffle prizes for during the event, and assisting departments to fill vacant shifts during the event.
Some War experience is important. Management, organizational and computer skills are essential. The Estrella War Volunteer Coordinator commitment to the event begins upon appointment and continues until all issues relating to that office for the War are resolved. | Shipping & Receive Coordinator (Open until filled) Shipping & Receive Coordinator is responsible for the management of the management of packages received at the Estrella War Site. This officer must be able to coordinate with the Merchant and Regalia Coordinators, as well as the shipping companies who deliver to the site. This officer must be able to further coordinate with the Site and Regalia Coordinators, as well as all other Event Sub-coordinators. Further, this officer must be able to manage a number of deputies and volunteers. This officer is responsible for the tracking of packages delivered and picked up/distributed.
Some War experience is preferred, but not necessary. Organizational and people skills are important. The Estrella War Shipping Coordinator commitment to the event begins upon appointment and continues until all issues relating to that office for the War are resolved. | Estrella War Exchequer Emergency Deputy (Open until filled) The War Exchequer Emergency Deputy holds a warranted position responsible for the management of monies/budgets at the Estrella War. This officer must be able to coordinate with the Kingdom Seneschal, Principal Kingdom Officers, and Main Coordinators. This officer must be able to coordinate with the all other Event Sub-coordinators. Further, this officer must be able to manage a number of deputies and volunteers.
Some War experience is important. Management, organizational and computer skills are essential (Excel experience a MUST). The Estrella War Exchequer Deputy commitment to the event begins upon appointment and continues until all issues relating to that office for the War are resolved. | Estrella War Exchequer (Open Till February 14, 2011) The Atenveldt Kingdom Financial Committee are soliciting applications for the position of Estrella War Exchequer for the next two Estrella Wars, effective immediately and running through Estrella War 2013. The Estrella War Exchequer holds a warranted position responsible for all financial operations of the Estrella War during the period for which he or she is warranted, usually two years. This officer must be able to
work closely with the Event Main Stewards, Event Sub-stewards and should have accounting experience and a good working knowledge of Excel.
The position is demanding, requiring intense effort and time, especially during the first days of the War itself. The responsibilities of the War Exchequer begin well before Estrella War happens and will continue until all financial matters relating to Estrella War are resolved.

| Estrella War Emergency Deputy Exchequer (Open Till February 14, 2011) The Atenveldt Kingdom Financial Committee are soliciting applications for the position of Estrella War Emergency Deputy Exchequer for the next two Estrella Wars, effective immediately and running through Estrella War 2013.
The Estrella War Emergency Deputy Exchequer is a warranted position of 2 years. This officer must be able to work closely with the Estrella War Exchequer, Event Main Stewards, Event Sub-stewards and should have accounting experience and a good working knowledge of Excel.
This is a support position to the EW Exchequer, providing support and expertise to the EW Exchequer as needed and requested. This position will step into the EW Exchequer position should the need arise for the EW Exchequer to step out of the position. The EW Emergency Deputy will work as the Acting EW Exchequer during the 3 month advertising requirement, during which, they may submit a resume and request the position of
EW Exchequer.
